1. Overview of Cancellation & Refund Policy

Climbing Mount Kilimanjaro and enjoying a Tanzania wildlife safari are once-in-a-lifetime experiences that require significant financial and logistical preparation. This includes airfare, accommodation, park fees, and operational costs. Because of this, cancellations and refund requests must be handled carefully and in line with our operational commitments and third-party obligations.

2. Why Full Refunds Are Not Always Possible

Many clients wonder why full refunds cannot always be issued. The reason is that your booking involves multiple independent service providers such as hotels, airlines, park authorities, and local suppliers. Payments are made in advance to secure your experience, and many of these costs are non-refundable once processed.

3. Third-Party Service Providers

Your safari or trekking package may include services from partner lodges, airlines, and hotels that are not owned by African Landscape Adventures. Each provider has its own cancellation policies, which directly affect refund eligibility. Domestic flights and remote lodge bookings are often prepaid and non-refundable once confirmed.

4. National Park Fees and Government Charges

Fees for Kilimanjaro climbs and safari parks are paid in advance to the Tanzania National Parks Authority. These fees are typically non-refundable once processed, as they are required to secure permits and entry approvals before your arrival.

5. Local Suppliers and Operational Costs

Every expedition requires advance purchase of food supplies, fuel, medical kits, bottled water, and other essential materials. These items are purchased specifically for your trip and cannot be refunded once preparation begins.

6. Staff, Planning, and Operational Commitment

A significant amount of work is carried out before your trip begins, including planning, reservations, logistics coordination, and expedition preparation by our Tanzanian team. These operational costs support local employment and community development and are factored into the booking process.

7. Flexibility in Special Circumstances

Although our policies are standard, African Landscape Adventures evaluates each case individually. In exceptional situations such as serious illness, bereavement, or major disruptions like natural disasters or political instability, we may offer partial or full refunds at our discretion.

8. Refund Evaluation and Processing Time

All refund requests are reviewed carefully. Once submitted, we aim to provide a decision within 72 hours. Where possible, we coordinate with our partners to reduce cancellation penalties or offer alternative solutions such as rescheduling.

9. Cancellation Fees Structure

Cancellation fees depend on how early the request is made before the tour start date:

• 10% fee if cancelled more than 90 days before departure
• 30% fee if cancelled 60–89 days before departure
• 60% fee if cancelled 30–59 days before departure
• 80% fee if cancelled 8–29 days before departure
• No refund if cancelled 0–7 days before departure

10. Deposit Policy

A deposit of USD 100 per person is non-refundable once a booking is confirmed. However, it is transferable and can be applied to future travel dates with African Landscape Adventures.

11. Rescheduling and Travel Credits

Instead of cancelling, clients may choose to reschedule their trip. Deposits can be held as travel credit for future use. However, price differences may apply if park fees, accommodation rates, or operational costs increase in the future.

12. Peak Season Cancellation Risks

Cancellations during peak travel seasons (July–October and December–March) may result in higher penalties due to strict lodge and airline policies. In such cases, accommodation and flight costs may account for a significant portion of cancellation charges.

13. Travel Insurance Recommendation

We strongly recommend all travelers purchase comprehensive travel insurance covering trip cancellation, medical emergencies, evacuation, and travel disruptions. Insurance ensures financial protection in unforeseen circumstances.
