African Landscape Adventures Cancellation and Refund Policy

African Landscape Adventures understands that travel plans can sometimes change due to unforeseen circumstances. This Cancellation and Refund Policy explains the conditions that apply when a guest cancels, changes or is unable to use a booked travel service.

Our trips involve advance arrangements with hotels, lodges, tented camps, national parks, conservation authorities, airlines, transport providers, guides and other suppliers. Some of these services require advance payments and may be partially or fully non-refundable.

This policy applies to bookings for wildlife safaris, Kilimanjaro and Mount Meru climbs, Zanzibar holidays, beach holidays, honeymoon trips, airport transfers, excursions, accommodation arrangements, flights and other travel services arranged by African Landscape Adventures.

By making a payment or confirming a booking with African Landscape Adventures, you acknowledge that you have read, understood and accepted this Cancellation and Refund Policy.

Booking confirmation and payment

A booking is considered confirmed once African Landscape Adventures has received the required deposit or payment specified in the quotation, invoice or booking confirmation.

Unless otherwise stated in your booking confirmation:

  • A 30% deposit is required to confirm the booking.
  • The remaining 70% balance is normally due no later than 30 days before arrival.
  • Bookings made within 30 days of arrival may require full payment at the time of booking.
  • Different payment conditions may apply where required by a specific hotel, lodge, airline, park authority, mountain permit or other supplier.

Once a booking is confirmed, African Landscape Adventures may use part of the payment to secure accommodation, transport, permits, park fees, flights, guides, mountain services and other arrangements required for the trip.

Cancellation by the guest

Any cancellation must be submitted to African Landscape Adventures in writing, preferably by email or another official communication channel.

The cancellation date will be the date on which African Landscape Adventures receives the written cancellation request.

The amount refundable will depend on how far in advance the cancellation is received and on the cancellation conditions of the suppliers involved in the booking.

Cancellation more than 60 days before arrival

When a booking is cancelled more than 60 days before the scheduled arrival date, African Landscape Adventures will make reasonable efforts to recover refundable amounts from the relevant suppliers.

Any refund will be calculated after deducting amounts that cannot be recovered, including applicable supplier charges, non-refundable deposits, permits, payment-processing fees, bank charges and other costs already incurred for the booking.

Where suppliers allow a full or substantial refund, African Landscape Adventures will pass the recoverable amount to the guest after applicable deductions.

Cancellation 31 to 60 days before arrival

For cancellations received between 31 and 60 days before arrival, refunds will depend on the amounts that African Landscape Adventures can recover from the relevant suppliers.

Accommodation, transport, park fees, permits, flights, activities and other services may already be subject to cancellation charges during this period.

Any refundable amount will therefore be calculated after deducting applicable non-refundable costs and charges.

Cancellation 15 to 30 days before arrival

For cancellations received between 15 and 30 days before arrival, many travel services may already be subject to significant cancellation charges or may be non-refundable.

African Landscape Adventures will contact the relevant suppliers and make reasonable efforts to recover any available funds.

Any refund will be limited to amounts that can reasonably be recovered, after deduction of applicable charges and costs.

Cancellation 14 days or less before arrival

For cancellations received 14 days or less before arrival, payments may be non-refundable because accommodation, transport, permits, park fees, guides and other travel arrangements may already have been fully committed.

African Landscape Adventures will nevertheless make reasonable efforts to recover any refundable amounts from suppliers.

If a supplier provides a refund, credit or alternative arrangement, African Landscape Adventures will communicate the available option to the guest.

Cancellation after the trip has started

Once a trip has started, no refund will normally be provided for services that the guest chooses not to use.

This may include unused:

  • Safari days;
  • Accommodation nights;
  • Meals;
  • Airport transfers;
  • Park entry or conservation services;
  • Activities and excursions;
  • Domestic flights;
  • Mountain climbing days;
  • Guide or porter services; or
  • Other services included in the confirmed itinerary.

Where a supplier agrees to provide a refund for an unused service, African Landscape Adventures will pass the recoverable amount to the guest after applicable charges.

No-show policy

If a guest does not arrive for a confirmed booking and has not provided prior written cancellation notice, the booking will normally be treated as a no-show.

No refund will normally be provided for a no-show.

This includes situations where the guest fails to arrive at the agreed meeting point, accommodation, airport or tour departure location without prior communication.

Cancellation due to illness or personal circumstances

Illness, injury, family emergencies, personal circumstances, changes in plans, visa problems or other circumstances affecting the guest are generally treated as guest cancellations.

The normal cancellation terms will therefore apply.

African Landscape Adventures strongly recommends purchasing comprehensive travel insurance that includes trip cancellation and interruption coverage.

Where appropriate, we can provide booking documentation or other reasonable supporting documents for an insurance claim.

Travel insurance

Guests are strongly advised to obtain suitable travel insurance before travelling to Tanzania.

Travel insurance should ideally cover:

  • Trip cancellation;
  • Trip interruption;
  • Medical expenses;
  • Emergency medical evacuation;
  • Accidental injury;
  • Lost or delayed baggage;
  • Flight delays or cancellations;
  • Emergency repatriation; and
  • Other risks associated with international travel.

African Landscape Adventures is not responsible for losses that could reasonably have been covered by appropriate travel insurance.

Kilimanjaro and Mount Meru cancellations

Kilimanjaro and Mount Meru climbs require advance arrangements involving mountain permits, park fees, accommodation, guides, porters, meals, transport and other operational services.

Some mountain permits, park fees and related services may be non-refundable once purchased or issued.

If a guest cancels a mountain climb, the refund will therefore depend on the amount that African Landscape Adventures can recover from the relevant authorities and suppliers.

If a guest voluntarily abandons a climb after it has started, no refund will normally be provided for unused climbing days, permits, accommodation, meals, guides, porters, transport or other services already arranged.

Failure to complete a mountain climb

If a guest is unable to complete a Kilimanjaro or Mount Meru climb because of personal choice, insufficient preparation, failure to follow guide instructions or other circumstances attributable to the guest, unused services will normally not be refundable.

Safety decisions made by our guides or mountain management for the protection of the guest will not automatically create a right to a refund.

Where a refund or credit can be obtained from a supplier, African Landscape Adventures will communicate the available option to the guest.

Cancellation or changes by African Landscape Adventures

African Landscape Adventures reserves the right to cancel, postpone or substantially modify a trip where circumstances make it necessary or unsafe to operate the planned itinerary.

Such circumstances may include:

  • Extreme weather conditions;
  • Natural disasters;
  • Government restrictions;
  • National park or conservation-area closures;
  • Political instability or civil unrest;
  • Public health emergencies;
  • Major transport disruptions;
  • Safety concerns;
  • Changes in government regulations;
  • Road or infrastructure conditions; or
  • Other circumstances beyond our reasonable control.

Where reasonably possible, we will offer a suitable alternative itinerary, date or service.

If African Landscape Adventures cancels a trip before departure for reasons within our reasonable control, we will work with the guest to provide an appropriate alternative or refund in accordance with the circumstances and applicable supplier terms.

Where cancellation results from circumstances beyond our reasonable control, any refund will be limited to amounts that can reasonably be recovered from suppliers, after applicable non-refundable costs.

Changes requested by the guest

Guests may request changes to a confirmed booking, including changes to travel dates, accommodation, activities, number of travellers, safari duration or other itinerary arrangements.

All changes are subject to availability.

Additional costs imposed by hotels, lodges, camps, airlines, parks, transport providers or other suppliers will be payable by the guest.

If a requested change is treated by a supplier as a cancellation and new booking, the applicable cancellation charges may apply.

Accommodation cancellations

Accommodation arrangements are subject to the cancellation conditions of the relevant hotel, lodge, camp or other accommodation provider.

Some accommodation rates may be non-refundable or may require advance deposits.

Where an accommodation provider retains a deposit or applies a cancellation charge, the applicable amount may be deducted from any refund due to the guest.

Flights and airline tickets

Flights arranged through African Landscape Adventures are subject to the fare rules and cancellation conditions of the relevant airline.

Airline tickets may be non-refundable or may be subject to cancellation, amendment, rebooking or administrative charges.

African Landscape Adventures is not responsible for losses resulting from airline delays, cancellations, schedule changes, missed flights or other airline-related disruptions.

Where an airline provides a refund, credit or rebooking option, we will assist the guest where reasonably possible.

National park fees, permits and conservation fees

National park entry fees, conservation fees, camping fees, mountain permits, concession fees and other government or authority charges may have specific refund conditions.

Where these amounts cannot be recovered, they may be deducted from any refund due to the guest.

Non-refundable services

Certain services may be non-refundable once booked, confirmed, purchased or used.

These may include:

  • Non-refundable accommodation;
  • Airline tickets;
  • Mountain permits;
  • Park and conservation fees;
  • Special accommodation rates;
  • Private transport already arranged;
  • Special activities;
  • Third-party services;
  • Payment-processing charges;
  • Bank charges; and
  • Other services specifically identified as non-refundable in the quotation, invoice or booking confirmation.

Refund calculation

Refunds are calculated based on the amount actually recoverable from the relevant suppliers and service providers.

The refund may therefore be less than the amount originally paid by the guest.

Deductions may include:

  • Supplier cancellation charges;
  • Non-refundable accommodation deposits;
  • Airline cancellation or amendment charges;
  • Park and conservation fees;
  • Mountain permits;
  • Transport cancellation charges;
  • Payment-processing fees;
  • Bank charges;
  • Currency conversion losses where applicable; and
  • Other reasonable costs already incurred in connection with the booking.

Refund processing

Approved refunds will normally be processed after African Landscape Adventures has confirmed the refundable amounts with the relevant suppliers.

Because some refunds depend on third-party providers, the time required to complete a refund may vary.

Where practical and permitted by the payment provider, refunds will be made using the same payment method used for the original payment.

Any bank, payment-provider or currency-conversion charges that cannot be recovered may be deducted from the refund.

Currency and exchange-rate differences

Where the original payment and refund are processed in different currencies, the amount received by the guest may differ from the original amount paid because of exchange-rate fluctuations or banking charges.

African Landscape Adventures is not responsible for losses resulting solely from exchange-rate changes or charges imposed by banks or payment providers.

Refunds for unused services

No automatic refund is provided for services that a guest chooses not to use after a trip has commenced.

This includes early departure from a safari, voluntarily leaving a mountain climb, missing an activity, choosing not to use accommodation or declining an included service.

Where a supplier provides a refund for an unused service, African Landscape Adventures will pass the recoverable amount to the guest after applicable deductions.

Guest responsibility

Guests are responsible for providing accurate information required for their booking and travel arrangements.

This includes accurate names, passport details, travel dates, flight information and other information requested by African Landscape Adventures or relevant suppliers.

Additional costs arising from incorrect information supplied by the guest may be payable by the guest.

Special supplier conditions

Certain bookings may be subject to specific cancellation conditions imposed by a hotel, lodge, airline, park authority, mountain authority or other supplier.

Where such conditions apply, they may be communicated in the quotation, invoice, booking confirmation or other travel documentation provided to the guest.

Where a specific written booking condition differs from this general policy, the specific condition applicable to that booking may take precedence.

Cancellation requests

All cancellation requests should be submitted as soon as possible through the official contact details of African Landscape Adventures.

Guests should include their name, booking reference where available, travel dates and the reason for cancellation.

Submitting a cancellation request does not automatically guarantee a refund. The applicable refund will be determined after reviewing the booking conditions and supplier cancellation policies.

Disputes concerning refunds

If a guest believes that a refund has been calculated incorrectly, they should contact African Landscape Adventures in writing and provide the relevant booking information.

We will review the matter and provide an explanation of the refund calculation.

We encourage guests and African Landscape Adventures to resolve any cancellation or refund concerns amicably through direct communication.

Force majeure and circumstances beyond our control

African Landscape Adventures will not be responsible for losses or additional costs resulting from circumstances that are beyond our reasonable control.

Such circumstances may include natural disasters, extreme weather, government restrictions, war, civil unrest, epidemics, pandemics, strikes, major transport disruptions, closure of protected areas or other events that could not reasonably have been prevented or anticipated.

Where such circumstances affect a booking, we will make reasonable efforts to assist the guest and recover any funds available from suppliers.

Acceptance of this policy

By paying a deposit or making full payment for a booking, the guest confirms that they have read, understood and accepted this Cancellation and Refund Policy.

This policy should be read together with the guest’s quotation, invoice, booking confirmation, itinerary and any specific terms communicated by African Landscape Adventures.
